Introduction
You spend years getting a capital project from concept to commissioning. Thousands of documents. Hundreds of stakeholders. Every drawing, specification, and vendor datasheet meticulously tracked through construction.
Then someone says, “Righ to, hand it all over to ops.”
And that’s where it falls apart.
The transition from project delivery to operations is one of the most critical — and most mishandled — phases in any asset’s lifecycle. It’s the point where all the knowledge accumulated during design and construction needs to land cleanly in the hands of the people who will run the facility for the next 20 to 30 years. Get it wrong and your operations team inherits a mess: incomplete handover packages, missing vendor data, and maintenance documentation that’s either buried in someone’s inbox or doesn’t exist at all.
We’ve seen this pattern across energy, resources, and infrastructure projects for nearly three decades. The root cause is almost always the same: handover is treated as an event at the end of a project, not a process that runs alongside it.
The real problem isn’t the final week. It’s the first day
Most project teams set up their document control to serve the construction phase. Fair enough — that’s the immediate priority. But if the system and the workflows aren’t designed with operations in mind from the outset, you’re building a handover problem into the project from day one.
Operations teams need documents organised by asset, by discipline, by maintenance function. They need to know that every safety-critical record is accounted for. They need confidence that what they’re looking at is the final, as-built version — not a superseded drawing from six months ago.
Construction teams, understandably, are focused on getting the job done. The disconnect between how documents are managed during delivery and how they need to be structured for operations is where the gap opens up.
How LCAB handles it differently
LCAB was designed around this problem. Rather than bolting on a handover module at the end, operational readiness is built into the platform from the start. Document completeness is tracked continuously against the handover register throughout the project. By the time practical completion arrives, the operations team isn’t waiting for someone to compile a handover package under time pressure — it’s already there and lined up against the asset management solution with all its work packages.
The metadata structure supports both project delivery and operational use, so there’s no painful migration or restructuring required. The same document that was reviewed and approved during construction is the same document operations will reference for the life of the asset, in the same system, with its full history intact.
It sounds straightforward because it should be. The transition to operations doesn’t need to be a crisis. It just needs to be planned for from the beginning — and supported by a system that treats the asset’s operational life as seriously as its construction phase.
If your next project has a handover challenge waiting at the end, it’s worth asking whether it needs to exist at all.
