Lessons from solar, wind, BESS, and hydrogen projects using LCAB
Australia’s renewables sector is moving at breakneck speed. From utility-scale Solar and Wind to BESS and emerging Green Hydrogen, projects are reaching construction faster than ever before.
But with that speed comes a mountain of engineering data — and a growing question for delivery teams:
Is your document control keeping up?
Across the industry, we’re seeing the same challenge repeat: thousands of documents, multiple contractors, fast-moving approvals, and increasing pressure to deliver compliant, audit-ready handover packages without delay or rework. In this article, we explore how renewables teams are tackling these challenges — from structured workflows and metadata-driven control to continuous handover preparation that starts on day one, not at project close-out.
At Cadmus, we’re helping de-risk some of Australia’s largest energy projects by bringing control, visibility, and structure to project information from construction through to operations.
The Renewables Document Problem Is Different
Traditional infrastructure projects have long, predictable timelines. Renewables projects often don’t. Fast-tracked approvals, modular procurement, and aggressive commissioning schedules mean that document volumes spike quickly and stakeholders — owners, EPCs, subcontractors, regulators, and grid operators — all need access to the right information at the right time.
The specific challenges we see most frequently across solar, wind, BESS, and hydrogen projects include:
- Managing thousands of vendor data submittals and tracking review status in real time
- Maintaining a single controlled version of drawings across multiple contractors working simultaneously
- Meeting ISO 9001 and ISO 55001 requirements for document traceability and audit trails
- Preparing compliant handover packages for asset owners and operations teams at project close-out
Solar: Taming Vendor Data at Scale
Utility-scale solar projects involve a surprisingly large number of distinct equipment types — inverters, trackers, transformers, switchgear, and civil infrastructure — each with their own vendor documentation requirements. On a large project, the number of vendor data items requiring review and approval can reach several thousand.
Without a structured system, project teams resort to spreadsheets and shared drives that quickly become unreliable. Version conflicts, missed review deadlines, and documents submitted out of sequence all add up to delay.
The teams we’ve worked with on solar projects have benefited most from automated review workflows that route submittals to the right reviewer based on document type, track response times, and escalate overdue items automatically. The result is a complete, auditable record of every document action — which is invaluable both during construction and at handover.
Wind: Compliance Documentation Across Complex Supply Chains
Wind projects — particularly offshore and large-scale onshore — involve highly regulated equipment and structures. Turbine certification, structural engineering sign-offs, and ongoing maintenance documentation all need to be traceable and accessible to multiple parties over the long operational life of the asset.
Compliance documentation for wind projects is often produced by multiple organisations across different jurisdictions. Keeping it organised, version-controlled, and ready for auditor review is a challenge that doesn’t go away at commissioning — it follows the asset for decades.
The most effective approach we’ve seen uses metadata-driven classification to automatically tag documents by asset, discipline, and document type at the point of creation. This means that when an auditor or asset manager needs to locate all structural certification records for a particular turbine, they can do so in seconds rather than hours.
BESS: Handover Packages That Actually Work
Battery energy storage projects face a distinctive challenge: they are often built quickly, sometimes by teams with limited experience in formal document control, but they hand over to sophisticated asset operators who need complete, structured documentation to run the facility safely and efficiently.
The gap between what gets produced during construction and what operations actually receives at handover is one of the most common pain points we encounter in BESS projects. Incomplete handover packages delay commissioning, create warranty risks, and can have safety implications.
What we’ve implemented for BESS clients is a structured operational readiness process that runs in parallel with construction. Rather than treating handover as something that happens at the end, document completeness is tracked continuously from day one. By the time practical completion arrives, the handover package is largely assembled — not scrambled together under time pressure.
Hydrogen: Building Document Control Frameworks from the Ground Up
Green hydrogen is still an emerging sector in Australia, and many of the organisations entering it are doing so without established project document control frameworks. This is actually an opportunity: rather than retrofitting a system onto a project already in progress, hydrogen developers have the chance to implement best-practice document control from the outset.
The stakes are high. Hydrogen facilities involve pressure systems, hazardous materials, and complex safety cases that require meticulous documentation. Regulatory scrutiny is increasing, and asset owners need confidence that their information management systems will stand up to audit.
For hydrogen clients, we’ve focused on establishing a document numbering system and metadata schema early, setting up approval workflows that reflect their actual organisational structure, and integrating with the engineering tools their teams already use — including Microsoft 365 and CAD platforms. Starting right is significantly cheaper than fixing problems later.
Three Things That Make the Difference
Across all four sectors, the projects that handle document control well tend to share three characteristics:
- They implement a system before they need it, not after problems emerge. Document control debt is expensive to resolve mid-project.
- They configure their system to match how their teams actually work, rather than forcing teams to adapt to rigid software defaults.
- They treat handover as a continuous process, building the operational package throughout the project rather than assembling it at the end.
The technology matters, but it’s the discipline and the workflows that determine outcomes. The right platform removes friction from doing the right thing — it makes compliance and control the path of least resistance, not an additional burden.
